Health & Safety Policy

Health & Safety policy statement
Faces Aesthetics College believes that successful Health & safety policies and practices are fundamental for its business and should be promoted as an integral part of each business activity. The director therefore acknowledges a legal and moral responsibility and duty of care for the health and safety of employees, members of the public, contractors and visitors to the work place.
The director, Sarah Shannon, formally sets our health and safety policy, objectives and arrangements within this manual and will provide sufficient resources to ensure the policies and objectives are achieve within the company.
Through the policy, objectives and arrangements, we shall;
 Comply with all relevant health and safety legislation and approved codes of practices;
 Provide a safe working environment for all employees and visitors;
 Provide a safe plant, equipment, materials, procedures and systems;
 Maintain all plant and equipment in a safe condition;
 Provide information, instruction, training, and supervision to ensure a safe and healthy work place;
 Review our working practices regularly, consult with employees on health and safety issues and review our performance.
The director therefore gives an undertaking that all health and safety matters referred to them, or appointed representative/s will, so far as s reasonably practical, receive due consideration.

Section two
Organisation, responsibilities and communication.
This section of the safety policy manual outlines the organisational structure within Faces Aesthetics College, and the specific responsibilities for the Management of Health and Safety. In addition, how information pertinent to Health and safety will be communicated.
Director’s responsibilities
The director, will ensure:
 Compliance with the provisions and prohibitions of the health and safety at work etc. act 1974;
 The organisation and arrangements set out in this safety policy manual are duly implemented and are bought to the attention of all employees and third parties where legalisation requires;
 The director acknowledges overall responsibility for the health and safety of employees, members of the public and other visitors, where they may be affected by the company’s undertakings;
In order to meet these responsibilities, the director will, so far as is reasonably practicable;
• Ensure health and safety is on the agenda for discussion at informal team meetings with recommendations for improvement where appropriate;
• Health and safety will be given equal consideration alongside all other areas of the business;
• Ensure that adequate resources and information are made available to enable the policy to be effectively put into practice;
• Appoint a competent person or company to advise on health and safety;

The internal verifier
Will be responsible for assisting the director in their implementation and maintenance of this policy and assisting in ensuring that all work activities are undertaken in a safe manner.
Employee responsibilities
All employees have a statutory duty to take reasonable care for health and safety of themselves and of others who may be affected by their acts or omissions. They are also required to co-operate with the company so far as is necessary to enable any duty or requirement imposed on the company to comply with.
Employees are reminded that breach of this duty could result in disciplinary action. Therefore, all employees will be expected to:
 Conform to any legal requirements, rules, procedures and instructions necessary for ensuring health and safety;
 Seek appropriate advice and instruction in situations affecting their health and safety and that of others;
 Report any unsafe plant, equipment, systems of work or other unsafe situations and cease work immediately if there I a risk of injury or damage/loss. Unsafe plant or equipment should not be used and duly reported to the pa or to the director;
 Report any incident or accident, however minor it may seem, whether or not injury or damage has occurred;
 Maintain high standards of housekeeping within the work place;
 Us protective clothing and equipment recommended for their use unless a medical condition exists which prevents them from doing so;
 Participate in health and safety training as appropriate;
 Co-operate and assist where required in the risk assessment process. Accident recording, reporting an investigation and emergency procedures within the work place.

Employee involvement and communication
The director will take responsible steps to involve all employees of Faces Aesthetics College in health and safety concerns and encourages recommendations and suggestions increasing the effectiveness of health and safety within the workplace.
All employees will be informed of any issues relevant to their health, safety and welfare.
Regular team briefings will be held where any health and safety issues are discussed.
The following safety information will be displayed in a prominent position in the workplace:

• Faces Aesthetics College safety policy statement;
• Health and safety law notice;
• Names and location of appointed persons for first aid;
• Location of first aid box/es and eyewash if appropriate;
• Actions to be taken in the event of a fire;
• Employers’ liability (Compulsory insurance) certificate;
Information relating to specific work activities will be displayed in the relevant work area. This includes:
• Safe systems of work/mandatory signage
• Safety data sheets on hazardous substances (in COSHH file);
• Relevant health and safety training posters/information.

Section three

Arrangements for ensuring health and safety at work.
Section three outlines the general arrangements to be implemented within Faces Aesthetics College in order to ensure that the health and safety policy is effectively put into practice. These are the minimum requirements, and the director may need to implement further systems and procedures as appropriate to effectively control specific risks to health and safety.
1. Accident and incident reporting, recording and investigation
1.1 Policy
It is the policy of Faces Aesthetics College to report all accidents, industrial disease and dangerous occurrences as stated in the reporting of injury’s, diseases and dangerous occurrence regulations 2013 (RIDDOR).
In addition, all incidents which result in first aid treatment being required will be recorded and recommendations sought to prevent a reoccurrence. All employees are instructed to report all such occurrences immediately after treatment. An entry should be mad in the accident book, regardless of the severity of the injury. If, because of their injury, the injured person is incapable of making an immediate entry, then that entry will be made by a manager or Director.
Accidents will be classified as ‘minor’, seven-day ‘reportable’ or ‘major reportable’ as per the above regulations, and the appropriate action will be taken should they be reportable.
Your manager or the Director will be notified immediately following any accident or incident requiring hospital treatment or time off work and will be responsible for reporting the accident or incident to the enforcing authority where required under the reporting of incidents, diseases and dangerous occurrences regulations 2013 (RIDDOR).
1.2 accidents-action to take
If the injury is of minor nature, first aid treatment should be given by a qualified first aider or an appointed person should take charge of the situation and call for medical assistance as required. Following this, it is important that the accident book is fully completed, either by the injured person or the director on their behalf. Faces Aesthetics College will keep an accident book available for this purpose. The accident book will be kept in the office.
If the injury is of serious nature, and the person is taken to hospital, the accident book should be completed by the director.
Reporting procedures: fatal and major injuries
Notify fatal and major injuries by TELEPHONE to the department of work and pensions Tel: 08453009923 or online via the HSE website www.hse.gov.uk using the suite of online forms below.
Dangerous occurrence and all other reportable work-related injuries and incidents under RIDDOR (the reporting of injuries, diseases and dangerous occurrences regulations 2013) should be reported ONLINE, using a suite of seven forms available on the HSE website www.hse.gov.uk
The seven online RIDDOR reporting forms are:
• F2508 report of an injury;
• F2508 report of a dangerous occurrence;
• F2508A report of a case disease;
• OIR9B report of an injury offshore;
• OIR9B report of a dangerous occurrence offshore;
• F2508G1 report of a flammable gas incident;
• F2508G2 report of a dangerous gas fitting.
In the event of a fatal or major injury (as defined by the reporting of injuries, diseases and dangerous occurrence regulations 2013-RIDDOR), the director will:
• Report within 24 hours by TELEPHONE or ONLINE;
• Investigate the incident and gather relevant information;
• Ensure the scene of the incident should not be disturbed unless it is considered necessary to prevent any further accidents.
Photographs/sketches/measurements should be taken in possible.
1.3 lost time accident – over seven days
Where an accident resulting in more than seven days’ absence from work, excluding day of accident, the manager or Director will:
• Complete form F2508 online via the HSE website on the seventh day the injured person is absent from work, excluding the day of the accident. This must be completed within 15 days of the accident.
N.B. where any sub-contractor has sustained a lost time accident, their employer is responsible for reporting to the HSE.
1.4 dangerous occurrences
Complete form F2508 online via the HSE website within ten days.
1.5 ‘near misses’ or damage incident
All accidents resulting in damage to property, equipment, vehicles, fixtures or fittings, together with near misses, should be reported to Faces Aesthetics College. it is important that these incidents are investigated, particularly if potential personal injury was narrowly avoided.
1.6 accidents to visitors and members of the public i.e., children
Should a non-employee suffer an injury as a result of work activities, investigation procedures must be followed.
All incidents must be recorded in the accident book, and it is important that the correct details are taken of the name and address of the injured person.
Should the accident be reportable, the enforcing authority must be informed by the duty manager or Director.
The circumstances must also be reported to the company’s insurers.
1.7 employer’s liability insurance company
Should an employee suffer an accident or injury which is reportable to the enforcing authority, it is important that the company’s employers’ liability insurance company is notified of the incident

2. Control of contractors

2.1 introduction
The term ‘contractor’ refers to anyone (individual or organisation) who enters into an agreement either oral or written) with Faces Aesthetics College to conduct services or work activities on site.
2.2 policy
It is the policy of (COMPANY) to ensure the health and safety not only of our employees and visitors, but also the health and safety of any contractors we employ.
In order to implement this policy, the director, will:
1) request copies of their insurance cover certificates in respect of employers’ liability and third-party risks;
2) request information where appropriate from the contractor on their health and safety policy and procedures, and their line manager (if appropriate) responsible for health and safety and their site safety arrangements;
3) communicate any procedures and guidelines for their activities whilst working on Faces Aesthetics College premises;
4) provide information regarding any risks which may be encountered in carrying out approved work on Faces Aesthetics College LTD behalf, and identify and communicate activities and actions to be avoided;
A designated responsible person in the company will:
1) supervise their activities to ensure they are not creating any risks or hazards to themselves or Faces Aesthetics College employees;
2) Agree and define the area in which the work is to be carried out, the approved routes to and from the work areas and any areas which are out of bounds to the contractors.

3. Hazardous substances (COSHH)
Introduction
The company is legally obliged to assess, control and monitor the use of hazardous substances used in the workplace and to instruct and train employees about the risks and necessary precautions to be taken.
Many substances in everyday use such ad cleaning materials may be considered hazardous. Under the COSHH regulations, it is an offence to use any hazardous product that has not been assessed.
3.1 hazardous substances (as defined by the control of substances hazardous to health regulations 2002) will only be used by Faces Aesthetics College where this is found to be unavoidable. Every effort will be made to ensure that, so far as possible, non-hazardous substances are purchased for use or, where there is no non-hazardous substance which is suitable, that lest hazardous substance is obtained.

3.2 The quantities of hazardous substances stored and used within the workplace will be the minimum quantities consistent with the needs of the company and with sound commercial purchasing practice.
3.3 all hazardous substances to which persons may be exposed in the workplace will be identified. A file of all such substances will be complied and suppliers/manufacturers’ safety data sheets obtained for all substances prior to use. These outline the hazards of the substance, also indicating any precautions necessary. Faces Aesthetics College is responsible for obtaining material safety data sheets from suppliers.
3.4 Where additional information to that contained in the safety data sheet is required, further assessments will be carried out and specialist advice will be sought as required. Faces Aesthetics College is responsible for insuring that COSHH assessments are written up (with assistance as required for the external safety advisors as required).
The director is responsible for maintaining the assessment records. COSHH assessments will be reviewed annually or following any change in which may affect them. Any recommendations made for regarding the control of hazardous substances will be implemented by the director. The assessments will be reviewed when there is a material change and circumstance and, in any event, and on an annual basis.
3.5 All measures intended to prevent, or control exposure will be regularly monitored on an appropriate basis as identified but COSHH assessments. The director will be responsible for ensuring that control measures are implemented and maintained.
